Build the estimate
- Open the request in Inbox. Under Estimates, press New estimate.
- In What it is for, name the job.
- Add lines. Pick from Add one of your services… to use your own service and add-on prices, or press Add a line and type the item, details, quantity and price.
- For a discount, add a line with a negative price.
- Add Tax % if you charge tax. Zome adds up the subtotal and total.
- Write Notes for the customer (optional), like what's included and how long it takes.
- Choose how long it's Good for: 7, 14, 30, 60 or 90 days.
If the request was for a service you've priced, the first line is filled in for you.
Send it
Press Save and send. The customer gets a link by text or email, and the request moves to Quoted. If they texted STOP, it goes to their email instead, if you have it.
Press Save draft to finish it later. You need a phone number or email for the customer to send it. If texting and email aren't connected yet, the message waits in Follow-ups under Ready to send.
How the customer accepts
The link opens a page with your business name, the lines and the total. To accept, the customer types their full name, ticks the box and presses the accept button with the total. Or they can press Decline and tell you why. Nothing is charged on this page.
When they accept:
- The job goes into Jobs with no day yet. Agree a time with them, then use Set a day on the job.
- The request moves to Booked.
- You get an alert with their name.
If you change the estimate after they open it, they reload the page and read the new version before they can accept. Once the Good for date passes, the page says the estimate expired and asks them to contact you.
Keep track
The request lists each estimate as Draft, Sent, Viewed, Accepted or Declined, with when it was opened. Press View to see what the customer sees, or Edit to change one they haven't answered.
Estimate follow-ups
If the customer hasn't answered, Zome sends one "any questions?" note three days after you send the estimate, and one reminder three days before it runs out. It stops the moment they accept or decline. To turn it off, go to Follow-ups, Automations, and switch off Estimate follow-ups.
